Summary Description

Worcester Academy, an independent day and boarding school serving grades 6-12 and postgraduates, is in the midst of the Rooted and Rising Campaign, a $100 million comprehensive campaign that will strengthen the Academy's people, programs, campus, and profile for generations to come.

 

The Manager of Advancement Services plays a mission-critical role in supporting the operational backbone of this campaign and all Advancement initiatives. This position ensures the accuracy, integrity, and strategic use of constituent, gift, and prospect data. Working collaboratively across departments-including Admissions, Information Technology, and Finance-this individual oversees data management, gift processing, reporting, and prospect research functions that drive philanthropic success. The successful candidate will bring technical expertise, a passion for data-informed decision-making, and a collaborative spirit to help advance Worcester Academy's mission.

 

Key Responsibilities

 

Database & Systems Management

  • Serve as lead administrator for Worcester Academy's Blackbaud Raiser's Edge environment
  • Maintain accurate constituent and gift records, including contact information, affiliations, and giving histories
  • Manage data integrations among Raiser's Edge, Balckbaud, and the MyHilltop Student Information System
  • Conduct regular data hygiene audits and oversee duplicate resolution and data integrity initiatives
  • Design and maintain custom reports, dashboards, and analytics for Advancement leadership to inform goals and strategy

 

Collaboration Across Campus

  • Collaborate with Information technology to maintain data security, system connectivity, and user support
  • Serve as a key data liaison to ensure that shared campus systems are aligned, accurate, and up to date

 

Gift Processing & Reporting

  • Oversee or execute timely and accurate gift entry and acknowledgement processes, ensuring compliance with IRS and CASE standards
  • Manage pledge records, recurring gifts, and soft credits
  • Support stewardship efforts by ensuring that donor recognition, acknowledgements, and reports reflect accurate information

 

Prospect Research & Management

  • Partner with the fundraising team to identify and prioritize major gift prospects
  • Utilize both internal data (giving histories, engagement patterns) and external resources (Windfall, LinkedIn, etc) to develop comprehensive prospect profiles
  • Collaborate with gift officers to ensure accurate pipeline management, campaign reporting, and progress tracking

 

Reporting & Analytics

  • Generate strategic data reports on donor participation, campaign progress, and fundraising performance metrics
  • Partner with the Advancement leadership team to analyze and recommend data-driven strategies for donor engagement and retention

 

Policies, Compliance & Best Practices

  • Maintain adherence to donor privacy, data security, and ethical fundraising standards
  • Stay current on emerging trends in advancement technology and prospect research to ensure Worcester Academy remains at the forefront of best practices

 

Leadership and Team Development

  • Lead system upgrades, workflow improvements, and documentation initiatives
  • Serve as a strategic partner on the Advancement leadership team, helping guide operational planning for the Rising Campaign and beyond

Experience and Skills:

Qualifications

Experience Expectations

3-5 years  Demonstrated experience managing Blackbaud or similar databases; experience with prospect research tools and reporting

 

Required Skills

  • Bachelor's degree
  • Excellent attention to detail, analytical thinking, and project management skills
  • Ability to translate data into actionable insights
  • Strong interpersonal and communication skills; able to collaborate across technical and nontechnical teams
  • Understanding of gift accounting and donor stewardship processes
  • Commitment to confidentiality, integrity, and mission-driven work

 

Preferred Skills

  • Experience in independent school or higher education environment
  • Familiarity with prospect research tools (e.g., Windfall)
  • Knowledge of campaign management and donor pipeline analytics
  • Experience reconciling data between Advancement and Finance systems

 

Working Conditions

  • Full-time, on-campus role with occasional evening or weekend responsibilities during campaign events, fiscal close, or database upgrades

 

Compensation

The starting salary is determined upon, but not limited to several factors, which include years of experience in a similar role, educational background, and expertise in database management. Salary range for this full-time position s $50,000 to $70,000
