Temp position Dec 1- May 31 with option for full time thereafter (40 hours/week)

 

POSITION PURPOSE

Reporting to the Director of Admission and working in collaboration with members of the Admission team the Admission Office Administrative Assistant is responsible for accomplishing a variety of general and specialized office functions related to the work of the Worcester Academy Admission Office as listed below.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

Admission Office Reception and Communications

  • Meet and greet all visitors to the WA Admission Office, including those who have scheduled appointments for tours and interviews.
  • Answer all telephone calls and general email inquiries to the Admission Office from prospective applicants for admission, and from others having business to do with the office.
  • Working with other members of the Admission Office, schedule appointments for visitors and maintain the general Admission Office calendar.
  • Prepare letters and packets of information for mailing to inquiries and those requesting information about Worcester Academy and the admission process.
  • Prepare letters and related materials that are part of the financial aid process at Worcester Academy.

Maintaining Office Records and Files

  • Primarily responsible for maintaining all the records and paperwork of the Admission Office, and for all filing. This includes maintaining the Admission Office database program and records.
  • Oversee processing of incoming mail and directing mail to the appropriate place and/or person.
  • Create and maintain all application files and ensure that supporting materials find their way to the appropriate location.
  • Create periodic reports and statistics that reflect the activity of the Admission Office.

Admission Office Administration

  • Maintain all supplies associated with the efficient operation of the Admission Office, and order additional supplies as necessary.
  • Process all purchase orders related to the purchase of supplies and services for the benefit of the Admission Office.
  • Oversee the work of students assigned to do work for the Admission Office.

REQUIRED KNOWLEDGE AND ABILITIES
To perform this job successfully, the Administrative Assistant must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.

  • Prior work in an office setting, and regular interaction with a customer/client base, preferred.
  • Demonstrated strong organizational skills, and ability to tend to many different tasks and duties simultaneously, required.
  • Ability to maintain an extreme level of confidentiality, exemplary customer service skills, attention to detail, ability to resolve situations and to work independently while supporting a cooperative environment.
  • Strong computer skills required. Prior experience with Google suite & Blackbaud preferred

This position requires the ability to establish and maintain cooperative working relationships within a diverse environment.
